RESERVATION DEADLINE

The deadline to reserve a room at the discounted rate is April 19, 2024. A limited number of rooms is available and could sell out prior to the deadline date. We recommend booking as early as possible to secure your room within our block and make the most of your hotel experience. One night’s room plus tax is required to hold your reservation and is refundable up to 72 hours in advance of your arrival date for any cancellations. Additional guest charges may apply for more than two occupants per room—check when making your reservations.

BEWARE OF SCAMS & HOUSING POACHERS

IARS is the only official housing providers for the Annual Meeting. Solicitation of hotel reservations from any housing provider other than IARS is not approved by the conference. Hotel reservations made by unaffiliated organizations may appear to be for lower rates; however, they may be illegitimate. Please be aware of, and report, any unauthorized solicitation to [email protected].

When IARS secures sleeping rooms at hotels for our conferences (commonly referred to as room blocks), we research the properties to make certain that our attendees and exhibitors are adequately accommodated. These room blocks are established to ensure that rooms meet our standards and are offered at a discounted price. IARS works with the hotels directly for housing and does not use a third-party housing provider. The hotels will not contact attendees to solicit reservations.

Room poaching is a practice carried out by third-party companies that act as travel agencies, wholesalers or destination management companies to solicit registrants and exhibitors for room reservations for society or other organizations meetings. The practice of room poaching makes it more difficult for us to meet our room block commitments and exposes IARS to penalties and increased room rates for our conferences.

Often room poachers may misrepresent themselves as IARS’s official housing provider and registrants and exhibitors may be contacted by fax, email or phone with offers for cut rate housing. The poacher might inform registrants and exhibitors that the hotel room block is “sold out,” and that if you do not book with them immediately, you may not get a room. Additional deceptive tactics may include:

  • Room poachers may distribute forms or promotional materials that appear to be issued by IARS.
  • Room poachers may not deliver on promises to customers. When customers arrive, reservations are sometimes non-existent or the hotels are not conveniently located.
  • Room poachers may seek to represent themselves as being affiliated with IARS by illegally using our name or logo.

Don’t be misled! If you are contacted by anyone asking if you need a room for the IARS Annual Meeting please get as much information as you can and pass it along to us.

IARS is not responsible for any damages associated with contracting with a third-party reservation service, who may, or may not claim to be associated with IARS.
